As of 1st January 2013 there were 2,619 academies open in England and the rate at which Schools are converting continues to grow.

The User Group will be hosting a special event on the 11th April 2013 hosted by SAP at Clockhouse to allow Local Authorities who offer SAP services to Academy Schools, to share their experience of supporting Schools with services like Human Resources, Payroll and Finance.

Di Archer from Worcestershire County Council will present Migrating Academy Employees to the new Payroll Area. Worcestershire County Council implement a new Company Code and Payroll Area for Academy Schools who buy back Payroll services.  During the process WCC use many tools such as LSMW, Winshuttle and various Epi-Use tools to aid the process.

Without these tools the process would take much longer and the risks of error would be greater.  Listen to how WCC use these tools to ensure data accuracy and speed up the implementation process.

Amanda Byrne  from Worcestershire County Council will give a session on Exception Reporting at Worcestershire County Council. Worcestershire County Council use SAP Query and Epi-Use Query Manager to create exception reports.  These reports help WCC manage HR, Payroll and Finance data and ensure both accuracy and consistency by emailing HR, Payroll or Finance staff when data errors are identified.

Tim Barker from Epi-Use Labs will demonstrate How our solutions have helped local authorities support Academy Schools. With over 26 local authority customers in the UK we work closely with our customers to develop our products. Join us for a 45 minute session to find out how:-

  • Data Sync Manager  enables SAP HCM data test data on-demand  Functional colleagues can use the solution to copy, clone and scramble employee objects for testing, support and training scenarios
  • Query Manager is a complete SAP HCM reporting solution enables you to automatically e-mail reports to the Academy Schools, especially where they do not have direct acces
  • Variance Monitor is an SAP HCM comparison solution which checks for difference in payroll and Master Data. Variance Monitor also ensures that employees earn the same when moved to the new Company Code, speeding up the employee load process

Chris Woodhouse & Andy Binn from Derbyshire County Council will present SAP Journey (Academies & Schools). Derbyshire County Council (DCC) provide a payroll service to academy schools through a traded service arrangement. They are also implementing SAP across DCC maintained schools as a replacement for legacy systems used in schools to undertake payroll, purchasing and finance activity. In this session DCC will discuss their approach in undertaking these projects.
