Case studies:
Trafford Council
To maximise the benefits of SAP, the Trafford Council introduced EASY for SAP, on the recommendation of one of the IT contractors. This has allowed the Accounts Payable team to capture, store and access documents such as purchase orders and invoices electronically
Amey
Amey first implemented SAP as its finance and resource management system, it invested in EASY Software’s SAP Packaged Services (Capture and Archive) to capture and manage incoming Accounts Payable (AP) documents electronically. With 12,000 invoices coming into the business each month, on average, Amey needed a means to capture, store and access these without reliance on paper.
SAGA
“Once documents have been prepared and scanned, the information is archived onto the EASY platform so the business can see it. We then keep the paper for between 1-3 months, after which it is destroyed. Having everything available electronically means people anywhere can find it quickly, nothing gets lost, and we’re not at risk of breaching confidentiality.”
Marina Uden

L W Theatres

Mike Wilson, Quality Manager, Mediterranean Shipping Company UK Ltd.
The Co-operative
There is little doubt here at the Co-Op that document management has transformed our business, it is the efficiency in working and reduced time searching for the documents that is the most obvious benefit.
Matthew Allen, Business Manager, The Co-Operative Group
Spicerhaart
Now that we are doing everything electronically there are no files lying around. We have effectively feng-shui’d the business! added Steve.
Dave Bessant, Worcestershire’s financial systems manager
Pregis
Finding information is easier and faster, approvals are simpler and traceable. The whole process is so much more visible. It really is second nature to work this way.
Gary Kempster, Pregis IT Director
FISHPOOLS
Our receptionist scans everything in, it’s automatically filed – and then what paper we do receive gets recycled.
Alice Norris, its Operations Director
Enfield Council
If a supplier asks why an invoice hasn’t been paid, staff no longer have to go off to hunt through a pile of paperwork. They can see immediately whether and when it was posted on the system and advise if there is an issue with the payment.
Dawn Evans, Assistant Head of Finance at the Council
Alcon
In a very short time we could electronically trace the complete chain of paperwork related to an order – from the order itself to shipping information, personal requests and warehouse slips. This makes for a very efficient customer service operation and makes payment collection simpler and quicker which has a positive impact on the business.
Jamie Moss, IT Support at Alcon Laboratories UK
